What the film shows, in words
- See whether your totals meet your records.
- Youth trained. The records add up to 235.
- The draft report says 375. The tool shows the difference as +140.
- Set aside, in view: row 4 no value, row 5 duplicate, row 8 negative. A blank is never counted as zero.
- Ho reports 140. The tops meet. Youth trained: 3 records counted, 140 + 95 + 140 = 375. Reported 375. Difference 0. “Reconciles” against the records pasted here.
- Internships started: 65 and 65, with one row still set aside. Totals that add up. Gaps that stay visible.
The demo: the worked example, one input changed at a time
ExampleStep 1 of 4Synthetic records. Nothing is sent.
The records say 235. The draft says 375.
Youth trained
1 missing
Youth trained: 2 records counted, 140 + 95 = 235. Reported 375. Difference +140. “1 missing”.
Held aside, in view
- Row 4no valueLeft missing, not counted as zero.
- Row 5duplicate · 140Not counted twice.
Internships started
Matches, not ready
Internships started: 2 records counted, 38 + 27 = 65. Reported 65. Difference 0. “Matches, not ready”.
Held aside, in view
- Row 8negative · -3Excluded until checked.
- Youth trained: 2 records counted, 140 + 95 = 235. Reported 375. Difference +140. “1 missing”.
- Internships started: 2 records counted, 38 + 27 = 65. Reported 65. Difference 0. “Matches, not ready”.
7 records read. 3 exceptions logged (row 4 no value, row 5 duplicate, row 8 negative). “2 of 2 indicators do not reconcile”.
“Reconciles” means only that the rows pasted add up to the total stated, with no value missing and no row left unresolved. The tool does not judge whether the underlying records are true.
Now your records. Do the tops meet?
The table and the full log
The same comparison in figures, then every row the tool set aside and why. “Reconciles” is always against the records pasted here: the tool adds up rows and compares totals. It does not audit the records.
| Indicator | Records | Sum of records | Reported | Difference | Status | Arithmetic | Completeness | Unresolved |
|---|---|---|---|---|---|---|---|---|
| Youth trained | 2 | 235 | 375 | +140 | 1 missing | Does not match | 1 missing | 0 |
| Internships started | 2 | 65 | 65 | 0 | Matches, not ready | Matches | Complete | 1 |
Exception log
- Check: Row 4: Youth trained at Ho has no value. Left missing, not counted as zero.
- Gap: Row 5: duplicate of Youth trained, Tamale, 2026-Q2. Not counted twice.
- Gap: Row 8: Internships started at Ho is negative (-3). Excluded until checked.
Missing values stay missing: a blank is never treated as zero.
Email delivery is not connected yet, so nothing you paste leaves this device. Once it is connected, asking for the reconciliation by email will send the pasted records and totals with the request, and this page will say so at the button. The spreadsheet carries the tool’s row numbers and its exception log. It may show totals that do not reconcile.

How it is worked out, and its limits.
Three rules, published so you can check them against your own spreadsheet.
Method
- 01
Records are summed per indicator, one period at a time. The same indicator, site and period given twice with the same value counts once; given with different values, none counts until the right one is known.
- 02
Blank values are logged as missing and never counted as zero; non-numbers and negatives are excluded and logged.
- 03
Each sum is compared with the reported total; any difference is shown with its sign. An indicator with no reported total is not compared, and a reported indicator with no records is shown as such.
- 04
“Reconciles” needs all three: the arithmetic matches, no value is missing and no row is unresolved. The three are shown separately.
What it cannot tell you
- Use synthetic or permitted data only.
- It reconciles totals; it does not judge whether the underlying records are true.
- Donor definitions (for example unique individuals versus attendances) must be applied before pasting.
Quality ruleTotals reconcile; missing data stays missing.
From one paste to a reporting routine.
Donor definitions (for example unique individuals versus attendances) must be applied before pasting. These are the services that set that up, and the person who leads them.
